AssetLoop Technologies Inc. ("AssetLoop," "we," "us," or "our") operates the AssetLoop marketplace platform at assetloop.io and assetlloop.mysharetribe.com (the "Platform"). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use our Platform.

AssetLoop is a federally incorporated Canadian corporation subject to the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

  1. INFORMATION WE COLLECT

1.1 Information You Provide Directly

When you create an account, list equipment, make a booking, or contact us, we may collect:

  • Full name
  • Email address
  • Phone number
  • Business name and address
  • Payment information (processed and stored by Stripe; AssetLoop does not store credit card numbers)
  • Equipment details (manufacturer, model, serial number, year, condition, photographs, descriptions)
  • Pickup and delivery addresses (provided to our carrier network for shipping coordination)
  • Communications sent through the Platform's messaging system
  • Form submissions (waitlist signups, category suggestions, equipment need descriptions)
  • Tax information as required for T4A/T5018 reporting

1.2 Information Collected Automatically

When you use the Platform, we automatically collect:

  • IP address
  • Browser type and version
  • Device type and operating system
  • Pages visited, features used, and actions taken on the Platform
  • Date and time of access
  • Referring website or source
  • Search queries and filter selections

1.3 Information from Third Parties

We may receive information from:

  • Stripe (payment confirmation, transaction status, identity verification)
  • Sharetribe (platform hosting and marketplace infrastructure)
  • Google Analytics (anonymized website usage data)
  • Third-party carriers (shipping status, delivery confirmation)
  1. HOW WE USE YOUR INFORMATION

2.1 We use your personal information for the following purposes:

(a) Platform Operations: To create and manage your account, process bookings, facilitate payments, coordinate shipping logistics, and enable communication between Owners and Renters.

(b) Listing Review: To review and enhance equipment listings for quality, accuracy, and completeness before publication.

(c) Logistics Coordination: To provide your pickup or delivery address to our third-party carrier network for equipment shipping. Your address is shared only with the carrier, not with the other party in the transaction.

(d) Payment Processing: To process payments, issue refunds, manage security deposits, and distribute payouts to Owners through Stripe Connect.

(e) Tax Reporting: To issue T4A or T5018 information slips to Owners as required by the Canada Revenue Agency.

(f) Communications: To send you transaction confirmations, booking updates, shipping notifications, and responses to your inquiries. To send you marketing communications if you have opted in (you may opt out at any time).

(g) Equipment Passport: To create and maintain digital equipment profiles that track rental history, condition reports, and transaction data for equipment transacted on the Platform.

(h) Platform Improvement: To analyze usage patterns, improve Platform features, and develop new services.

(i) Safety and Security: To detect and prevent fraud, enforce our Terms of Service, and protect the safety and security of our users and the Platform.

(j) Data Products: To create anonymized, aggregated market intelligence products (rental pricing data, utilization trends, equipment demand patterns) for sale to third parties including OEMs, industry associations, insurance underwriters, and research firms. No personally identifiable information is included in data products without explicit consent.

  1. HOW WE SHARE YOUR INFORMATION

3.1 We share your personal information only in the following circumstances:

(a) With Other Users: Limited profile information (name, business name, reviews, response rate) is visible to other users. Equipment listing details are publicly visible. Contact information (email, phone, address) is NOT shared with other users until a booking is confirmed and payment is processed. Physical addresses are shared only with carriers, not with the other party.

(b) With Service Providers: We share information with third-party service providers who help us operate the Platform:

  • Stripe (payment processing)
  • Sharetribe (marketplace hosting)
  • Third-party shipping carriers (pickup and delivery addresses, equipment descriptions for transport)
  • Google Analytics (anonymized usage data)
  • Tally (form submissions)
  • Email service providers (transaction and marketing emails)

(c) For Legal Compliance: We may disclose information when required by law, regulation, legal process, or governmental request, including CRA reporting requirements.

(d) For Safety: We may disclose information to prevent fraud, investigate violations of our Terms, or protect the safety of our users or the public.

(e) In Business Transfers: In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such transfer and any choices you may have regarding your information.

(f) With Your Consent: We may share your information in other ways if you give us explicit consent.

3.2 We do NOT:

  • Sell your personal information to third parties for their marketing purposes
  • Share your physical address with the other party in a transaction (addresses go only to the carrier)
  • Share your contact information before a booking is confirmed
  • Store credit card numbers (all payment data is handled by Stripe)
  1. DATA RETENTION

4.1 We retain your personal information for as long as your account is active or as needed to provide you services. After account deletion, we retain certain information as necessary to comply with legal obligations (including tax reporting requirements), resolve disputes, and enforce our agreements.

4.2 Transaction records, including Equipment Passport data, condition photographs, and rental history, are retained indefinitely as they form part of the equipment's permanent digital identity and may be relevant to future transactions, insurance claims, or dispute resolution.

4.3 Anonymized and aggregated data (which cannot be used to identify you) may be retained indefinitely for analytics, research, and data product purposes.

  1. DATA SECURITY

5.1 We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, alteration, or destruction. These include:

  • Encryption of data in transit (SSL/TLS)
  • Secure payment processing through Stripe (PCI DSS compliant)
  • Access controls limiting employee access to personal information
  • Regular security reviews of our systems and practices

5.2 No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

6.1 Access and Correction: You may access, update, or correct your personal information at any time through your account settings or by contacting us at hello@assetloop.io.

6.2 Account Deletion: You may request deletion of your account and associated personal information by contacting us at hello@assetloop.io. Certain information may be retained as described in Section 4.

6.3 Marketing Communications: You may opt out of marketing emails at any time by clicking the unsubscribe link in any marketing email or by contacting us. Transaction-related communications (booking confirmations, payment notifications, shipping updates) cannot be opted out of while you have an active account.

6.4 Equipment Passport Data: Owners may request a copy of their equipment's Passport data at any time by contacting us.

6.5 Data Portability: You may request a copy of your personal information in a commonly used electronic format by contacting us.

  1. COOKIES AND TRACKING

7.1 The Platform uses cookies and similar tracking technologies to:

  • Maintain your login session
  • Remember your preferences and settings
  • Analyze Platform usage and performance
  • Improve user experience

7.2 You can control cookies through your browser settings. Disabling cookies may limit your ability to use certain features of the Platform.

  1. CHILDREN'S PRIVACY

8.1 The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information.

  1. INTERNATIONAL DATA TRANSFERS

9.1 Your information may be processed and stored in Canada and the United States, where our service providers (including Stripe and Sharetribe) maintain servers. By using the Platform, you consent to the transfer of your information to these jurisdictions.

9.2 Where your information is transferred outside of Canada, we ensure that appropriate safeguards are in place to protect your personal information in accordance with PIPEDA and applicable privacy legislation.

  1. CHANGES TO THIS POLICY

10.1 We may update this Privacy Policy from time to time. Material changes will be communicated to users via email or Platform notification at least fourteen (14) days before taking effect. The "Last Updated" date at the top of this policy indicates the most recent revision.

10.2 Continued use of the Platform after the effective date of any changes constitutes acceptance of the updated Privacy Policy.
